

Vendor Terms & Conditions
These Vendor Terms & Conditions (“Terms”) govern participation in The 703 Collectors TCG Show (the “Event”). By submitting a vendor application, paying any vendor fees, or participating in the Event in any capacity, the vendor (“Vendor”) acknowledges, accepts, and agrees to be bound by these Terms without modification.
1. Application, Approval & Confirmation
1.1 Submission of an application does not guarantee acceptance.
1.2 Vendor space is not confirmed until approved and vendor fees are paid in full.
1.3 All vendor fees are non-refundable except in the case of full Event cancellation by the Organizers.
1.4 Organizers may approve or deny applications in their sole discretion.
1.5 If deadlines to remit vendor fees are not met, Vendor’s space may be reassigned without notice.
2. Event Schedule & Access
2.2 Vendor must be fully set up 30 minutes prior to the start of the show.
2.3 Vendors arriving after may forfeit their space without refund or credit.
2.4 Vendor must remain open for the entirety of the listed event times.
2.5 Breakdown may not begin before the end of the listed event time.
2.6 Early breakdown may result in exclusion from future events without refund or compensation.
3. Booth Use & Venue Rules
3.1 Vendor may use only the booth space assigned and may not encroach on aisles or other areas.
3.2 Vendor may not attach any materials to walls, floors, courts, or fixtures without written permission.
3.3 Setup and breakdown must occur through designated loading entrances only.
3.4 Only water is permitted on the court surfaces; all other food or beverages are prohibited.
3.5 Non-service animals are prohibited.
3.6 Smoking, vaping, amplified sound, and sales of food or drink are prohibited without written permission from the Organizers.
4. Merchandise Requirements
4.1 All merchandise must be appropriate for a family-friendly gaming and hobby environment.
4.2 NSFW, explicit, offensive, discriminatory, or illegal/counterfeit merchandise is strictly prohibited.
4.3 Organizers may require removal of any merchandise at their sole discretion.
4.4 Vendor is solely responsible for compliance with all applicable laws, including sales tax, licensing, and permits.
5. Property, Security & Risk of Loss
5.1 Vendor assumes all risk of theft, loss, damage, or destruction of merchandise, equipment, vehicles, and personal property.
5.2 Organizers do not provide insurance, secure storage, or security services for Vendor property.
5.3 Organizers are not liable for low attendance, low sales, lack of customer engagement, or business interruption.
6. Conduct Standards
6.1 Vendor and its personnel must behave professionally and respectfully toward attendees, staff, and other vendors.
6.2 Harassment, discrimination, or disruptive behavior may result in immediate removal without refund.
6.3 Vendor must maintain a clean booth and promptly clean spills or debris.
6.4 Trash must be disposed of in approved receptacles.
7. Damage Liability
7.1 Vendor shall be fully responsible for any damage caused to the venue, including but not limited to floors, courts, fixtures, walls, and equipment.
7.2 Organizers may invoice the Vendor for repair or replacement costs.
7.3 Vendor shall remit payment for such invoices in a timely manner.
8. Indemnification & Assumption of Risk
8.1 Vendor participates in the Event at its own risk.
8.2 Vendor agrees to indemnify, defend, and hold harmless the Organizers, the venue, and their officers, directors, agents, staff, and representatives from any claims, losses, damages, injuries, liabilities, fines, or expenses (including legal fees) arising out of:

Vendor’s participation in the Event,

Vendor’s merchandise or business activities, or
-
acts or omissions of Vendor or its personnel.
8.3 Vendor waives claims for consequential or incidental damages, including without limitation, travel costs, lodging, lost sales, or business interruption.
9. Cancellation
9.1 If the Event is canceled in full by the Organizers, Vendor’s sole remedy is a refund of vendor fees paid.
9.2 No other reimbursements, damages, or compensation shall be owed.
10. Removal & Future Participation
10.1 Organizers may remove Vendor or deny future participation for violation of these Terms, venue policies, or applicable law.
10.2 Removal does not entitle Vendor to any refund or compensation.
11. Anti-Chargeback & Payment Agreement
11.1 Vendor acknowledges that vendor fees are non-refundable except in the event of full Event cancellation.
11.2 Vendor agrees not to initiate chargebacks, disputes, or payment reversals for any reason other than full Event cancellation by the Organizers.
11.3 Vendor acknowledges that chargebacks or reversals initiated in violation of these Terms constitute a breach of this Agreement.
11.4 In the event of a breach, Organizers reserve the right to pursue collection, legal remedies, and to bar Vendor from future events.
12. Modifications
Organizers may update these Terms at any time. Updated Terms apply upon publication to the Event’s application materials.
13. Acceptance
By submitting a vendor application, paying any vendor fees, or participating in the Event, Vendor acknowledges and agrees that:

Vendor has read and understands these Terms;

Vendor agrees to be bound by these Terms; and

Vendor is authorized to bind the business or organization they represent.
